Role – to ensure the efficient running of all operations of the club.
Duties:
To be well informed of all club activities
Plan for the future of the club
To recruit for committee members positions
Identify and suggest sponsorship opportunities for the Club
To have a good working knowledge of the club constitution, club rules, insurance cover and duties of all office holders
Ensure that all actions are in accordance with the Club constitution and rules are upheld by all members.

Duties:
Deputise for the President at Delegates meetings or official meetings of club, if required.
Assist the President in ensuring that actions are in accordance with the Club constitution and rules are upheld by all members.
The Vice President can be nominated to also participate as one of the non-executive or general committee positions, if required by the club. ( e.g. coaches convenor, team manager co-ordinator)
Participate as a full member of the executive committee on all aspects of running the club.

Administrator of the club providing coordination links between members, club executive and IDNA
Duties:
Ensure that minutes are maintained of the resolutions and proceeding of each general meeting and each committee meeting, along with a record of the names of the persons present at the meetings. (Actual minutes taken by minute Secretary, if appointed)
As custodian of all club records, support the Registrar in keeping a register of all members and historical data of past members and their history with the club.
Liaise with IDNA (Illawarra District Netball Association) regarding administration details of the club and other matters.
Represent the club at all association meetings as a club delegate, ensure information is communicated to and from the club committee.
Draw up all official letters and memos, as directed by the committee. Keep all club correspondence.

Set up and monitor WhatsApp groups for Committee, Mangers & Coaches and include executive committee in all groups
Co-ordinate all information for distribution to all members. Ensure that adequate and proper notice is given to all members for general meetings and the annual general meeting.
Prepare and maintain records for club membership awards. Ensure that the anniversary of specific years with the club are marked with the appropriate presentation
Participate as a full member of the executive committee on all aspects of running the club
Pre requisite this person MUST have Internet access to be able to communicate effectively with the Committee and other club members

** The Associations Incorporation Act 1981 has been replaced with the Associations Incorporation Reform Act 2012. The Public Officer role is now called the Secretary, and has been merged with the club’s Executive secretary position.

Duties:
Maintain accurate records of current income and expenditure
Ensure monies received are banked correctly

Prepare regular bank account reconciliations
Prepare budgets for forthcoming year describing potential sources of income and expenditure

To ensure the club fulfils all its obligations regarding player registrations
Duties:
Set up PlayHQ in December to be ready for Jan 1 and the following winter season
Maintain the current register of all members in the PlayHQ system. In line with Netball NSW guidelines.
Set up fees, discount vouchers and credits in PlayHQ
Assist the Secretary in maintenance of historical data of past members and their history with the club
Ensure that all non-playing participants are properly registered. This includes coaches, managers, umpires and committee members
Maintain details of Netball NSW registrations for all members in conjunction with Club
Liaise with IDNA co-ordinator for reconciliation and payment for online member registration
To ensure all registrations are with IDNA by the due date
Handle all correspondence to the club pertaining to IDNA registration
Be responsible for the submission of updated team registrations to IDNA and co-ordinate with Coaches convenor for team sheets.
To advise the Treasurer of members with outstanding club fees
Co-ordinate and manage proof of ID for players
Manage forms for new players from other clubs
Provide end of season report to be presented at AGM
Assist Treasurer to verify and reconcile club fees
Participate as a member of the Executive committee on all aspects of running the club

To provide support and guidance to all coaches over the season
Duties:
Organise coaches for teams at beginning of season
Organise coaches to support recruitment, preseason and grading activities
Liaise with IDNA association regarding coaching matters and IDNA Coaches convenor.
Ensure all coaches have appropriate training tools ie manuals and gear
Host a Pre-Season Coaches Session with all coaches
Provide all coaches with info pack at the beginning of each season. – Contents: Club contact list, Injury form, information regarding warm up, training and playing expectations of the club, Codes of Conduct
Work with Registrar to ensure that all coaches are registered as members and assigned to the correct team in PlayHQ
Liaise with executive committee on any major issues, as required.
Co-ordinate the team training timetable with coaches.
Promote coaching amongst club members, and promote the role of assistant coach among the younger players (14- 18yrs)
Co-ordinate training, accreditation courses and workshop attendance for coaches.
Maintain accreditation records of club coaches. (Official record held by Secretary)
Maintain First Aid register, and ensure all coaches participate in basic training.

To organise the weekly roster for umpire duty for all NSNC games and to provide support and guidance to all junior umpires as well as new NSG umpires.
Duties:
Coordinate roster for umpires for the junior / intermediate / cadet grades
Source and manage the provision of umpires for all games, produce roster and communicate to all umpires.
Provide umpire contacts list to all registered umpires.
Create WhatsApp Group for Umpire communication.
Join and participate in communication in the IDNA Messenger Group for Umpire Convenors
Liaise with Equipment Coordinator to ensure umpire shirts and equipment are ordered at the beginning of season
Liaise with IDNA association Umpires Convenor on all matters concerning competition umpiring.
Promote umpiring amongst club members.
Co-ordinate training, accreditation courses and workshop attendance for umpires
Maintain records of club umpires in Play HQ
Manage & train junior umpires. Must be 12 years old. Nominate Umpires for JUMP. (Junior Umpire Mentoring Program) with IDNA
Liaise with Treasurer to ensure Umpires are paid according to pay scale.
Participate as a member of the committee on all aspects of running the club.

To develop performance teams fostering the club’s competitive edge, ensuring that players are selected based on merit, and helping them achieve success while maintaining a positive and supportive team culture.
Duties:
Identify performance team grades
Appointing and coordinating a panel of selectors who are experienced, impartial, and knowledgeable about netball. Ensuring that the panel operates fairly and consistently during the selection process.
Providing guidance to selectors on selection policies, ensuring that the process is based on merit, performance, and potential rather than personal bias.
Planning and coordinating trial dates, venues, and logistics for representative team selections, ensuring wide communication to all eligible players.
Overseeing the player selection process, ensuring that all selectors follow clear, objective criteria based on player performance, skill levels, fitness, and potential.
Informing players of trial results in a professional and respectful manner, offering feedback where appropriate.
Ensuring the selection process is consistent, transparent, and unbiased, with all players receiving equal opportunity to demonstrate their abilities.
Acting as a role model for players and other coaches, demonstrating professionalism, dedication, and a passion for developing talent within the club.
Identifying talented players within the club and recommending them for representative opportunities, ensuring all players with potential are recognised and supported.
Communicate with appropriate people (player/parent) to work through selection disputes if they should arise
Source & manage additional Performance Team training, clinics and carnivals.

Duties:
Liaise with NSNC secretary to book school courts for NSG training
Liaise with committee to organise Come & Try Netball Daya at beginning of season

Attend IDNA NSG meetings and brief club exec, and club members where needed
Advise and co-ordinate participation in NSG Gala Days
Be the main point of contact for all communication regarding the club and NSG with players from each school

Be responsible for all club equipment including storage
Co-ordinate the provision of all equipment prior to the season start
Organise kit bags to be ready for beginning of season Managers Meeting
Maintain First Aid Kits in conjunction with Team manager Co-ordinator
Regularly check and maintain all training equipment
Collect all equipment from coaches at the end of the season
Perform Annual Audit of all Equipment
Participate as a member of the committee on all aspects of running the club

To maintain and acquire uniform and merchandise stock for netball season.
Duties:
Receive and process all uniform orders from members
Liaise with suppliers to ensure availability of Uniform prior to upcoming season
Hold stock of Uniform, and keep a stock record
Review uniform with Committee and team managers at least once a year
Receive monies for uniform, issue receipts and liaise with Club Treasurer to keep accurate accounts and bank monies received
Check invoices against goods received. Advise Treasurer of invoices to be paid
Present Stocktake position to Committee on a regular basis
Be available to take queries from any club member on uniform issues
Participate as a member of the committee on all aspects of running the club

Duties:
Developing fundraising strategies and organising events such as raffles, BBQs, auctions, or social events to raise funds.
Identifying and approaching local businesses or community organisations for sponsorship opportunities, preparing sponsorship proposals, and maintaining relationships with sponsors.
Review all Grant opportunities submitted to the club
Engaging with club members, parents, and the local community to encourage participation and support for fundraising initiatives.
Identifying suitable government, local council, and private sector grant opportunities that align with the club's objectives
Preparing and submitting detailed grant applications that meet the specific requirements of the funding bodies, ensuring compliance with guidelines and deadlines.
Creating accurate financial plans and budgets to accompany grant applications, ensuring transparency in how the funds will be used.
Keeping track of the grant application process and ensuring all post-award reporting requirements are met, including financial and progress reports to funding bodies.
Monitoring the funds raised through fundraising events and grants, ensuring proper allocation according to the club’s needs and objectives.
Convene a subcommittee, if required, of general committee members or other co-opted club members for sponsorship tasks
Developing promotional materials and campaigns for fundraising events, including flyers, social media posts, and newsletters.
Liaise with the executive committee on all aspects of Sponsorship . Provide regular briefings, and details of progress. All aspects must be approved via the executive committee
Development of Grant proposals in conjunction with executive committee to benefit the members of the club
Liaise with IDNA in relation to intentions to ensure no conflict of interest occurs
Communicate details to all members of the committee, canvas ideas and acceptable activities from club members
Ensure that the accepted sponsorship is in keeping with the ethics of the club, and meets the criteria set by the Executive committee
Participate as a member of the committee on all aspects of running the club.

Duties:
Develop and curate engaging content (posts, videos, images) to promote the club's activities, events, and achievements across social media platforms.
Regularly update and maintain the club's social media channels (Facebook, Instagram, etc.), ensuring consistent and relevant communication with the community.
Promote upcoming club events, training sessions, fundraisers, and matches to increase participation and attendance.
Keep members informed of important updates, announcements, or changes through social media, newsletters, and other communication channels.
Respond to comments, messages, and queries from club members, players, and the public in a timely and professional manner.
Ensure that all communications adhere to the club’s branding and values, maintaining a consistent voice and tone.
Liaise with local media outlets to generate publicity for the club, including writing press releases and facilitating interviews with players or coaches.
Capture or organise visual content (photos and videos) of games, events, and club activities for use on social media and promotional materials.
Work closely with other committee members to align social media efforts with the club’s goals, values, and overall communication strategy.
